Tracking items you have and don't have

I have been searching for a few weeks for something our members can use to keep track of virtual items from an online world. I originally hoped to create something with checkboxes, but we have quite a few categories and each category contains 10 – 100+ items.  I could not add over 500 checkboxes to a profile without breaking them down by individual category on a few pages.  I have not found a mod that will allow me to do that – does one even exist?  If you think about all of the people that collect things, you would think it would.

I have a possible solution, but I do not have any coding experience and no clue how I would go about doing this.  I am afraid it would take too many changes to accomplish what I want.  I installed the shop mod and I was happy to see it was close to what I am looking for, but I need to make quite a few changes.  How would I accomplish the following or are the changes even possible?

I only need to use it for members to save items in their inventory – unless they would like to use the trade option.

Can the user sort and view items in their own inventory by category and not a long list? With all the items we have, the list would be impossible to keep track of.
Using the store setup,  the members have to view all of the items they already have. If they have two of something, yes, maybe it would be nice selecting another, but I think a quantity box would be nice.   For this reason, I am wondering now if the checkboxes would be the better way to go.

How do I change the names of the fields?  For example, rather than "buy", it can say, "have".  After selecting "have", the item will save under their inventory to the same category.

Since they are constantly adding new items, the staff and the users will constantly update the data. Do we have the option of viewing items recently added?

Thanks so much in advance. I have been told this isn't such an easy project - any help would be greatly appreciated.

You can strip out the features that you won't use from the menu.

I believe no with current Shop mods.

They are all in language files, so you can change them easily.

I believe this isn't available too; however, shouldn't be hard to code.

If you don't have coding experience to apply all these, you can always ask from the author of Shop mod you've installed to customize it. You can also try Mod Requests board if you think this could be useful for many too or the Help Wanted (not for support) board.
